How much does it cost to automate a small business in Singapore?

2026 prices for tools, CRMs and custom builds, a calculator that prices the job you do by hand, and one real project with its actual cost.

By Lakshan Siva, co-founder and CTO ·

Short answer: Automating one admin job in a Singapore small business costs S$0 to about S$300 a month with off-the-shelf tools, or about S$500 to S$5,000 once for a custom build that does one job. A full CRM platform costs more: HubSpot's Sales Hub Professional runs about S$115 to S$128 a seat a month, plus a one-off S$1,920 onboarding fee. Price the job you do by hand first. Three hours a week at the Singapore median wage costs you about S$4,700 a year.

You've priced a few tools and the numbers don't line up. Zapier costs about S$26 a month. A WhatsApp inbox costs S$209. A platform sales rep quotes four figures, and a developer says S$5,000.

You can compare those prices once you know what the job costs you now. Work that number out, pick the cheapest route that does the job, then check the payback. Each step below comes with 2026 prices, and the examples include one real project of ours with its actual cost.

Step 1: Put a price on the job you do by hand

Pick one job that repeats every week, such as chasing invoices or answering enquiries. Time it for one week. Then work out the yearly cost:

Hours a week × cost per hour × 52 = what the job costs you a year

For the cost per hour, use what the person doing the job costs you. If you have no better figure, use S$30. Full-time residents in Singapore earned a median of S$5,775 a month in 2025, including employer CPF, according to the Ministry of Manpower. Divide that by 44 paid hours a week, the standard full-time week under the Employment Act, and you get about S$30 an hour. If you do the job yourself, use a higher figure, since you could spend that hour on paying work.

Next, estimate how much of that time a fix would remove. A reminder tool removes the sending, but you still read the replies. If you're not sure, start with 80% and adjust.

Price your own job

By hand, this job costs you about S$4,680 a year. The fix saves about S$3,744 a year and pays for itself in about 4.8 months: go ahead. Year-one net: about S$2,244.

The defaults match the renovation example below. Enter tools billed in US dollars at about S$1.28 per US$1 (October 2026), plus 9% GST.

Across the jobs we automate most often, owners get back about 2 to 6 hours a week per job. At S$30 an hour, one job costs S$3,100 to S$9,400 a year. Treat your figure as a ceiling: if an option costs more than the job over the time you'll keep it, it loses you money.

Step 2: Pick the cheapest route that does the job

You have five ways to automate a job. Start at the top of the table and stop at the first row that can do it.

RouteWhat it costs (2026)Fits whenWatch for
1. Settings in apps you already pay forS$0 extraXero and QuickBooks can send overdue invoice reminders. The free WhatsApp Business app has greeting messages, away messages and quick replies. Microsoft 365 business plans include Power Automate. Each one works inside its own app and nowhere else
2. Connector tools such as ZapierFree for 100 tasks a month. Professional: US$19.99 a month billed yearly (about S$26), or US$29.99 billed monthly, for 750 tasksYou copy the same data between two apps, such as a web form and a sheetSomebody on your team has to build and fix each automation, and a renamed form field can break one
3. Software for one job, such as SleekFlow for WhatsAppSleekFlow Pro: S$209 a month billed yearly, for 3 users and 500 contacts, plus S$19 a month to host a WhatsApp number and per-message feesA small team shares one inboxSeat and contact limits, and a bill every month for as long as you use it
4. CRM and all-in-one platforms such as HubSpot or ZohoZoho CRM: from US$14 a user a month billed yearly (about S$18). HubSpot Sales Hub Starter: US$20 a seat (about S$26). HubSpot Sales Hub Professional: US$90 to US$100 a seat, plus a required US$1,500 onboarding feeA team of 10 or more runs a sales pipeline every daySet-up takes weeks, and your team changes how it works to fit the software
5. A custom build around your appsAbout S$500 to S$5,000 once for one job. Agencies quote S$12,000 and up for a full custom systemThe job follows your own rules, and your team wants to stay in WhatsApp, email and your sheetsScope, price and yearly support terms should all be in writing

Prices from each vendor's pricing page, checked 27 October 2026. US-dollar prices exclude GST and card fees; see the hidden costs section. Vendors run new-customer promotions, so check their sites for today's price.

The gap between S$5,000 and S$12,000 reflects scope. A one-job build has one trigger and one result, such as sending a reminder when an invoice passes its due date. A full system adds logins, user roles and many screens, and agencies such as Kolonell price those from S$12,000 into six figures.

Check row 1 before you spend anything. Open the reminder settings in your accounting software and the business tools in your WhatsApp Business app.

Step 3: Check the payback before you sign

One-off cost ÷ (monthly saving − monthly fee) = months to pay back

We use these bands:

  • Under 6 months: go ahead.
  • 6 to 12 months: go ahead if the job will still exist next year.
  • Over 12 months, or never: shrink the scope, or move up the table to a cheaper route.

Subtract the monthly fee from the saving every month. If a tool's fee comes close to what the job costs you by hand, the tool will not pay back.

Worked examples: one real project and two typical cases

A real project: replacing paid cold-emailing with a S$500 script

A client paid a part-timer about S$12 an hour for roughly 2.5 hours a day to send cold emails to new leads. That came to about S$30 a day, or about S$7,800 a year on a five-day week. We built an emailer that sends about 500 emails a day on a schedule, for a one-off S$500. The build paid for itself in under 17 working days, and it brought in at least 10 leads that became clients, worth at least S$10,000. Read how the emailer works.

A typical case: a renovation firm chasing progress payments

The owner of a four-person firm spends about 3 hours a week matching bank payments to the invoice sheet and texting reminders, after 9pm on most weeknights. That costs 3 × S$30 × 52 = S$4,680 a year.

Row 1 can't help here, because the invoices live in a Google Sheet and the reminders go out by WhatsApp. A small custom build can read the sheet, draft each reminder in the owner's words and stop when the payment lands. Say it removes 80% of the time, about S$3,744 a year, and costs S$1,500. It pays back in about 4.8 months. HubSpot Sales Hub Starter for all four staff would cost about S$1,230 a year, every year, and the team would have to move its invoices out of the sheet. Our post on signs your invoicing should be automated covers the reminder rules to settle first.

A typical case: a fitness studio losing trial sign-ups

Enquiries arrive through Instagram DMs, WhatsApp and a website form. Two staff spend about 4 hours a week between them on replies, and some trial sign-ups wait a day for an answer. That costs S$6,240 a year in time.

No tool writes the replies for you. A shared list ends the app-switching, so suppose staff time drops from 4 hours to 1.5. That saves about S$3,900 a year, or S$325 a month. SleekFlow Pro costs about S$228 a month with the number fee, which leaves a saving of about S$97 a month before message fees. A custom list that pulls all three channels into one place costs once: at S$1,500 it pays back in about 4.6 months, and staff keep replying from WhatsApp. Pick the one your team will open every day, since the saving depends on use.

How much does a CRM cost in Singapore?

For a team of five, expect these yearly costs at October 2026 exchange rates, before GST:

  • Zoho CRM Standard: US$14 a user a month billed yearly, about S$1,075 a year for five users. Zoho CRM also has a free edition for up to 3 users.
  • HubSpot Sales Hub Starter: US$20 a seat, about S$1,540 a year for five seats.
  • HubSpot Sales Hub Professional: US$90 a seat, about S$6,910 a year for five seats, plus about S$1,920 for onboarding in year one.
  • A custom CRM: a Singapore freelancer quotes about S$5,000 for one with several user roles. Agencies quote S$12,000 and up.

Most of the CRM work we do is smaller than any of these: one list of enquiries from WhatsApp, email and your website, with a nudge when someone has waited too long. If you need that and nothing else, you don't need a full CRM. See what our CRM tools do.

Is Zapier worth it for a small business?

Zapier counts a task each time an action step runs. The trigger is free. A zap that reads a form and then adds a row and sends an email uses 2 tasks per run, so the Professional plan's 750 tasks cover about 375 runs a month, or about 12 a day. If you get more enquiries than that, you move to a higher tier.

Zapier pays off when you copy data between two apps and someone on your team enjoys fixing things. It gets expensive in time when the job needs your own rules, such as when to send a second reminder, because each rule adds steps you have to build and maintain.

Costs that don't show on the pricing page

  • 9% GST on overseas software. If your business isn't GST-registered, overseas providers registered under IRAS's overseas vendor regime add 9% GST to your bill.
  • Card fees on US-dollar billing. Your bank adds a foreign currency fee to each charge from Zapier, HubSpot or Zoho.
  • Message fees. WhatsApp Business API messages cost extra on top of the platform plan. SleekFlow bills them separately.
  • Upkeep on custom builds. Custom builds need fixes too, when an app they connect to changes. Ask for the yearly support price in writing before you sign, us included.

When one plan beats one product

If your list has one job on it, buy one fix, using the table above.

Some owners need help on both sides: getting found, and following up. One financial adviser we work with had paid another developer for custom software and dropped it within weeks, because it took too much effort to use. We built them a client mapper that they fill in with each client at the first meeting. It saves about an hour per new client, and a home dashboard shows due reminders and where each lead stands. We also run personal brand websites for three financial advisers. Those sites cost from S$30 a month and bring in about 5 to 10 enquiries a month each.

When the website and the follow-up come from different suppliers, nobody owns the link between the enquiry form and the enquiry list. Skandage Suite puts two or more of our products into one plan, scoped on one fit call, with one price agreed in writing before work starts. A common mix is Skandage Sites with CRM tools, so each website enquiry lands in your list and gets a reply.

Questions owners ask

How much does it cost to automate a small business in Singapore?

Automating one admin job costs S$0 to about S$300 a month with off-the-shelf tools, or about S$500 to S$5,000 once for a custom build that does one job. A full custom system starts around S$12,000.

How much does a CRM cost for a small business in Singapore?

For five users, expect about S$1,075 a year for Zoho CRM Standard, S$1,540 for HubSpot Sales Hub Starter and about S$6,910 for HubSpot Sales Hub Professional, plus a S$1,920 onboarding fee. Prices exclude GST and card fees.

Is Zapier enough for a small business?

For copying data between two apps, yes. The Professional plan costs about S$26 a month billed yearly for 750 tasks, which covers about 375 two-step runs a month. Jobs with your own rules take more building and upkeep than most owners expect.

How long should automation take to pay for itself?

Aim for under 6 months. Divide the one-off cost by the monthly saving minus any monthly fee. If the result is over 12 months, shrink the scope or pick a cheaper route.

Do I need HubSpot or Zoho if my team has fewer than 10 people?

For one or two jobs, no. Settings in apps you already pay for, a connector tool or a one-job build cost less. Compare each option's yearly price with what the job costs you by hand.
